Custom roles

Change what a default role can do, or create a role of your own, at Settings > Organization > Roles and permissions.

Owners can change what each role can do in their organization, and create new roles. Changes apply at once to everyone who holds the role, and only in this organization.

  • You need to be an Owner. Only owners see Roles and permissions in Settings.
  • Roles decide what people can do. To choose who holds a role, go to Settings > Organization > People.
  1. Go to Settings > Organization > Roles and permissions.
  2. Under Roles, pick the role.
  3. Turn permissions on or off. Each group has All on and All off.
  4. Select Save changes.

The first time you change a default role, your organization gets its own copy of it. The role then shows a Customized badge instead of Default. Other organizations keep the default.

The Owner role cannot be changed. Owners can always do everything.

  1. Under New role, enter a Name and, if you like, a Description (optional).
  2. In Start from, pick a role to copy its permissions, or leave it as Nothing.
  3. Select Create role.

The new role shows a Custom badge. Start from copies permissions once. Later changes to the role you started from do not change the new role.

To rename or remove a custom role, pick it and use Rename or Delete role. You can delete a role only when nobody holds it and no pending invitation uses it. Give those people another role first. Deleting cannot be undone.

Only roles your organization created can be deleted. A customized default role can be reset instead.

When ProjectBrain adds a new permission, it is turned on for the default roles that should have it. It stays off for any role you have customized or created, until you turn it on.

This is on purpose: a role you shaped by hand never gains a power you did not choose. It also means people in a customized role will not get a new feature’s permission automatically.

When a release adds a feature your team should use:

  1. Open Roles and permissions and pick each customized or custom role.
  2. Find the new permission in its group and turn it on where it fits.
  3. Select Save changes.

For a customized default role, select Reset to default. Your changes to it are removed, and it picks up the current default permissions, including any added since you customized it.

Recent changes at the bottom of the page lists each role change, when it happened and who made it.
