Projects and tasks

Projects hold your work. Tasks inside them carry a status, an assignee, a due date and the conversation about the work.

A project is a piece of work for a client or for your own company. Tasks are the steps inside it. This page is for anyone who creates, assigns or works on tasks.

You need to be a member of a project to see it. Creating a project needs the project.create permission, and changing a project’s settings needs project.update. If you only see some projects, that is expected: you see the ones you belong to.

  1. Open Projects in the sidebar.
  2. Choose Create Project.
  3. Enter a name, a client (or leave it as internal work for your company) and a description.
  4. Choose Create Project to save.

The project opens on its Overview tab. The other tabs are List, Board, Calendar and Timeline, plus more tabs your organization uses, such as Files and Wiki.

  1. Open the project and choose List or Board.
  2. Choose Create task.
  3. Type a title. Add an Assignee, a Due date, a Priority, Labels and a Type if you need them.
  4. Choose Create task, or Create & add another to keep going.

Open a task to see its details pane. From there you can:

  • Change the Status. Every status belongs to a category such as to do, in progress, done or canceled, so reports and boards know what “finished” means even when your status names differ.
  • Add a Subtask under Subtasks by typing in Add subtask… and pressing Enter. Subtasks go one level deep only.
  • Pick a Milestone, or create a new one by typing a name. See Milestones.
  • Write in Comments and mention a teammate by typing @ and their name. They get a notification.

Under Dependencies, choose Blocked by to pick a task that must finish first, or Blocks to pick a task that waits on this one. A task with an open blocker says so in its details, so nobody starts it too early.

  • Project members see the project’s tasks. People outside the project do not.
  • An ethical wall hides a project from everyone who is not listed on it, even people with broad roles.
  • A comment is internal by default. Tick Share externally only when a client or outside collaborator should read it.
