AI in ProjectBrain

Where AI helps inside ProjectBrain, what it never does on its own, and how usage is limited.

ProjectBrain uses AI in two ways. Some screens have AI built in, such as drafting a brief or suggesting what to write in a standup. You can also connect your own AI assistant (Claude, ChatGPT or Codex) so it can read and update your work for you.

In both cases, a person makes the decisions that matter. AI drafts and suggests. People approve, publish and send.

Where What the AI does Who decides
Briefs and SOWs Drafts sections from a template and asks you clarifying questions. Your team reviews the document. A person sends it to the client.
Estimates Helps break work down and suggest hours. You accept or change each line.
Starting from a document Reads a document you upload and proposes a first project plan or timeline. You review the draft before anything is created.
Timelines Generates a draft timeline for a project. You import the draft, then edit it like any other timeline.
Blueprints Drafts a blueprint from your team’s past work. A reviewer activates it. AI cannot publish or apply one.
Standups Offers suggestion chips built from what you did, such as tasks you finished. You tap a chip to add it, or ignore it.
Focus mode Helps plan your day and nudges you about what is next. You choose what to work on.

Some of these features are turned on per organization. If you do not see one, ask your admin.

  • It does not approve its own work. A connected assistant cannot mark a task complete unless your admin has allowed that, and agents always hand work back to a person to accept.
  • It does not publish a blueprint, send a document to a client or merge code without a person choosing to.
  • It does not see more than the person using it. A connected assistant acts as you, so it can only see and change what you can.

AI features are limited so one person or one runaway script cannot use up your organization’s allowance.

  • Each person and each organization has a fair-use limit on AI requests. If you hit it, wait a minute and try again.
  • Your organization can set an AI budget. When a request would cost more than expected, ProjectBrain asks you to confirm before it runs.
