Smartsheet and Microsoft Project
Import Smartsheet sheets and Microsoft Planner plans into ProjectBrain as projects with tasks, and re-import to pick up changes.
Smartsheet and Microsoft Project (Planner) share one import. It copies sheets or plans into ProjectBrain as tasks. It only reads from the other tool and never writes back. It runs when you start it, not on a schedule.
Before you start
Section titled “Before you start”Connect and import
Section titled “Connect and import”- Go to Settings > Integrations.
- Choose Connect on Smartsheet or Microsoft Project and approve access.
- Choose Import projects.
- Each sheet or plan has an Import into box. It is filled in with a project of the same name when one exists.
- Choose Import on a row, or Import all active projects.
The import runs in the background. Its status moves from Waiting to start to Running… to Done (with counts of new and updated tasks) or Failed. An import that makes no progress for 15 minutes is marked failed.
Choose Ignore on a row you do not want. It moves to Ignored projects.
What is imported
Section titled “What is imported”Each row or task becomes a task with its name, start and due dates, status, done state and assignee.
- Smartsheet finds columns by name: Task Name, Start Date, End Date (or Finish or Due Date), Status, Assigned To (or Owner or Assignee), Done (or % Complete), and Notes (or Description). Columns with other names are skipped.
- Microsoft Project (Planner): turn on Add buckets as board columns to turn buckets into board columns. It is off by default, because board columns are shared across your organization.
Not imported: Smartsheet sub-row nesting (sub-rows become ordinary tasks), and Planner notes, checklists, labels and attachments.
Importing again
Section titled “Importing again”Choosing Import again updates tasks that were already imported.
- A task you deleted in ProjectBrain is not brought back.
- A task you completed in ProjectBrain is not reopened.
- An assignee you changed in ProjectBrain is kept unless it also changed at the source.
Match people
Section titled “Match people”Anyone the import cannot match is listed under people with no match. For each, you can Assign them to a team member, Create user (no email is sent) or Create & invite (they get an email to set a password).
Disconnect
Section titled “Disconnect”Choose Disconnect on the card at Settings > Integrations. Projects and tasks already imported stay.
